My pay
Give employees their own payslips and IRP5s, and what they see when they sign in
My pay is where employees see their own payslips, how their tax was worked out, and their tax certificates, on their phone or computer. It's opened by linking a person to their employee record, not by a role, and it only ever shows that person their own records.
Inviting an employee
- Open the employee's page in Payroll.
- On the My pay card, click Invite to My pay.
- Check the Email and click Send invite.
Manage emails them an invite. When they accept, they join the company as a Member with no roles, so no other app opens for them, and they're linked to their employee record. They don't take a seat. See Inviting team members.
The My pay card shows where things stand:
| Status | Meaning |
|---|---|
| Not invited | No invite sent yet |
| Invite sent | Waiting for them to accept. Revoke invite cancels it |
| Invite expired | Send it again with Invite again |
| Sees their payslips | Linked. Unlink takes My pay away |
| No longer a member | They've been removed from the company, so they can't open My pay any more |
Inviting and unlinking needs the Manage employees permission.
If you're on the payroll yourself
If you're already in the company, for example as an Owner, open your own employee record and click This is me on the My pay card. My pay then appears under You at the top of the Payroll sidebar.
Emailing documents instead
Email payslips and IRP5 to this person on the My pay card sends someone their payslips and IRP5 by email, including someone who has left the company. You can also email every payslip in a run with Email payslips on the run. See Sending payslips.
What employees see
An employee with only My pay who opens Payroll goes straight to My pay. It shows, for one tax year at a time:
- Year to date: their Taxable income, PAYE and Net pay so far.
- Their payslips, each with a PDF. Opening one shows the same lines, working and full calculation the company sees, exactly as it was finalised.
- Their tax certificates, such as their IRP5, once the company has exported the EMP501 and issued them.
- Payslips kept from Sage, if the company moved from Sage.
If they have more than one tax year, they pick it under Tax year. Download all my payslips gives them a zip of every payslip and tax certificate, with a folder for each tax year. It's worth keeping: once someone is removed from the company, they have to ask their employer for copies.
Until their record is linked, My pay says Your payslips will be here. Anything else in Payroll shows "This part of Payroll is for your employer".
Payslip notifications
When a run with their payslip is finalised, a linked employee can be told with a Payslip ready notification. It's off until they turn on push or email for it themselves, under Profile → Notifications in Manage. See Notifications.
