Payroll
What Looped Payroll does, who can use it, and how it works with Manage, Financials and Track
Looped Payroll runs a South African payroll. It works out PAYE, UIF, SDL and the Employment Tax Incentive (ETI) for each employee, produces payslips, and prepares your monthly EMP201 and UIF declaration and your EMP501 at year end. Open it at app.looped.sh/payroll.
Payroll prepares the figures and files. You still submit them yourself: the EMP201 and EMP501 on SARS eFiling and e@syFile, the UIF declaration on uFiling, and the salary payments through your bank.
Who can use it
Payroll is for South African companies only. It checks the company's country on the Company page in Manage. If the country isn't South Africa, or isn't set, Payroll won't open and says why.
Inside a South African company, who gets in depends on their access:
| Person | What they see in Payroll |
|---|---|
| Owner | Everything, salaries, ID numbers and bank details included |
| Someone with Payroll Admin | Everything, the same as an Owner |
| Someone with a custom role that includes Payroll permissions | The parts of Payroll their role allows |
| An employee linked to their employee record | My pay only: their own payslips and tax certificates |
| Anyone else | Nothing. Payroll shows "You don't have access to Payroll" |
Because Payroll shows everyone's salaries, only an Owner can give Payroll Admin or a custom role that includes Payroll. See Roles & permissions for the details, including what a custom role can split out (such as seeing salaries, seeing ID and tax numbers, seeing or changing bank details, preparing, approving, finalising and reversing pay runs, and producing filings).
Employees don't need a role to see their own payslips. See My pay.
What it costs
Payroll comes with Business, or with being a managed company or a company that pays for managed companies, including the 30-day Accounting trial. If the trial or plan ends, Payroll goes read-only: you can still open everything, but you can't change anything until an Owner subscribes under Billing in Manage. See Purchasing a subscription.
How it connects to the rest of Looped
- Manage holds the company's name, address, bank accounts and SARS registrations (PAYE, UIF and SDL reference numbers). Payroll reads them from there, so you keep them in one place. Manage also sends the invites for My pay.
- Financials gets a journal for every pay run you finalise, and a reversing journal if you reverse one. See Payroll in the books. The EMP201 and UIF declaration deadlines in Financials link to the matching pages in Payroll.
- Track can supply hours for employees who are paid from the hours they log. See Running payroll.
Finding your way around
The sidebar groups Payroll's pages:
| Section | Pages |
|---|---|
| Payroll | Dashboard, Pay runs, Employees, Pay cycles |
| Reporting | Filings, Reconciliation, Year end, COIDA, Audit log |
| Settings | Setup, Move from Sage, Payroll settings, Pay items |
Setup and Move from Sage leave the sidebar once setup is finished. If you're on the payroll yourself and linked to your record, a You section with My pay appears at the top.
The Dashboard lists what needs doing, such as preparing or finalising a run, adding missing bank details or tax numbers, and upcoming filing deadlines, next to the next pay day, last month's cost and what's due to SARS next.
The tax year
A South African tax year runs from 1 March to the end of February. The tax year picker in the header sets which year every page shows. Past runs and payslips show exactly as they were finalised. Employee details always show as they are today.
Next steps
- Set up Payroll: company details, settings, a pay cycle and your employees.
- Run payroll each pay day.
- File the EMP201 and UIF declaration each month.
- Do the year end: the EMP501, IRP5s and the COIDA Return of Earnings.
