Configure Team Settings

Team settings allow you to customize your workspace, manage preferences, and configure how your team operates within the Looped platform. This guide will help you optimize your team’s settings for maximum productivity.

  1. Sign in to manage.looped.sh
  2. Select your team from the Team Picker in the header
  3. Click on Team in the sidebar navigation
  4. You’ll see various settings sections available for configuration

Configure your team’s basic information:

  1. Navigate to Team > General Settings

  2. Update the following details:

    • Team Name: The display name for your team
    • Team Description: A brief description of your team’s purpose
    • Team Logo: Upload a logo to personalize your workspace
    • Team URL: A custom URL slug (if available on your plan)
  3. Click Save Changes to apply your updates

Set up contact details for your team:

  1. Go to General Settings
  2. Enter your team’s:
    • Primary email address
    • Phone number (optional)
    • Physical address (optional)
    • Website (optional)

This information may be used in invoices and official communications.

Configure tax details for accurate invoicing:

  1. Navigate to Team > Billing Settings

  2. Enter your:

    • VAT Registration Number (if applicable)
    • Tax Identification Number
    • Business Registration Number
  3. Select your tax residency country

  4. Save your changes

Important: This information appears on all invoices generated by your team.

Set up who receives billing notifications:

  1. Go to Billing Settings
  2. Enter the billing contact email address
  3. (Optional) Add additional billing contacts
  4. Choose notification preferences for invoices and payment reminders

Manage your team’s payment methods:

  1. Navigate to Billing Settings > Payment Methods
  2. Add or remove credit cards
  3. Set a default payment method
  4. Update expiration dates and billing addresses

Configure what notifications your team receives:

  1. Go to Team > Notifications

  2. Toggle notifications for:

    • New team members joining
    • Subscription changes
    • Payment confirmations
    • Feature updates
    • System announcements
  3. Choose delivery method (email, in-app, or both)

Customize email communications:

  1. Navigate to Notifications > Email Settings
  2. Select frequency for digest emails (daily, weekly, or never)
  3. Choose which types of emails to receive
  4. Opt in or out of marketing communications

Enhance your team’s security:

  1. Go to Team > Security
  2. Enable Require 2FA for all team members
  3. Set the enforcement date
  4. Choose accepted 2FA methods

Tip: Requiring 2FA for all team members significantly improves security.

Control active sessions:

  1. Navigate to Security > Sessions
  2. View all active team sessions
  3. Set session timeout duration
  4. Revoke suspicious sessions if needed

Monitor team activity:

  1. Go to Security > Access Logs
  2. View login attempts and access history
  3. Download logs for audit purposes
  4. Set up alerts for suspicious activity

Manage integrations with other services:

  1. Navigate to Team > Integrations
  2. Browse available integrations
  3. Click Connect on the integration you want to add
  4. Follow the authentication flow
  5. Configure integration-specific settings

Popular integrations include:

  • Payment gateways (PayFast, Yoco)
  • Accounting software
  • Communication tools
  • Project management platforms

Configure API access for custom integrations:

  1. Go to Integrations > API Keys
  2. Click Generate New API Key
  3. Set permissions and scopes
  4. Name your API key for easy identification
  5. Store the key securely (it’s only shown once)

Security Note: Never share API keys publicly or commit them to version control.

Configure settings specific to Looped Track:

  1. Navigate to Team > Applications > Track
  2. Set default time tracking preferences
  3. Configure project templates
  4. Set billing rates and currencies
  5. Enable or disable features for your team

Customize invoice generation:

  1. Go to Applications > Invoice
  2. Set default invoice templates
  3. Configure tax settings
  4. Set payment terms and due dates
  5. Customize invoice numbering format

Export your team’s data:

  1. Navigate to Team > Data & Privacy
  2. Click Request Data Export
  3. Choose the data types to include
  4. Select export format (CSV, JSON, PDF)
  5. You’ll receive a download link via email

Configure how long data is retained:

  1. Go to Data & Privacy > Retention Policies
  2. Set retention periods for different data types
  3. Configure automatic deletion rules
  4. Save your preferences

Control data sharing and visibility:

  1. Navigate to Privacy Settings
  2. Configure:
    • Team visibility (public, private, or restricted)
    • Data sharing with third-party integrations
    • Analytics and tracking preferences
    • Cookie consent settings

Personalize your workspace (available on Business and Enterprise plans):

  1. Go to Team > Advanced > Branding
  2. Upload your company logo
  3. Choose brand colors (primary, secondary, accent)
  4. Customize fonts and typography
  5. Preview your changes
  6. Apply branding across all Looped applications

Set up webhooks for real-time updates:

  1. Navigate to Advanced > Webhooks
  2. Click Create Webhook
  3. Enter the webhook URL
  4. Select events to trigger the webhook
  5. Configure retry settings and authentication
  6. Test the webhook and save

Use your own domain (Enterprise plan):

  1. Go to Advanced > Custom Domains
  2. Enter your domain name
  3. Follow DNS configuration instructions
  4. Verify domain ownership
  5. Enable SSL certificate

Set your team’s default currency:

  1. Navigate to Team > Defaults
  2. Select your preferred currency
  3. Set decimal precision
  4. Save changes

All new invoices and financial records will use this currency by default.

Configure how dates and times appear:

  1. Go to Defaults > Localization
  2. Choose date format (DD/MM/YYYY, MM/DD/YYYY, etc.)
  3. Select time format (12-hour or 24-hour)
  4. Set timezone for your team
  5. Save preferences

Set the default language for your team:

  1. Navigate to Defaults > Language
  2. Select from available languages
  3. Apply to all team members or allow individual preferences
  • Review team settings quarterly to ensure they align with current needs
  • Update billing information before renewal dates
  • Audit team members and their permissions regularly
  • Check integration status and remove unused connections
  • Enable two-factor authentication for all team members
  • Use strong, unique passwords for team accounts
  • Regularly review access logs for suspicious activity
  • Keep payment methods up to date to avoid service interruptions
  • Set up integrations to automate workflows
  • Configure notification preferences to reduce noise
  • Use webhooks for real-time updates to other systems
  • Create templates for common tasks

Only team Owners and Admins can modify most team settings. Some settings, like notification preferences, can be customized by individual members.

Will changing settings affect existing data?

Most setting changes apply only to new data going forward. For example, changing the default currency won’t affect existing invoices, but will apply to new ones.

Are my settings synced across all Looped applications?

Yes! Team settings are synced across the entire Looped platform, ensuring a consistent experience.

What happens to settings if I cancel my subscription?

Your settings are preserved if you cancel your subscription. If you resubscribe, your previous configuration will be restored.
