Quotes & sales orders
Quotes, revisions and conversion, sales orders invoiced as they're delivered, and the links between them
Quotes and sales orders sit before invoices in the Invoices sidebar. They use the same document page as an invoice: client, lines, dates and totals, with one next step beside Preview and everything else in the ⋮ menu.
Quotes
Quotes lists the estimates you can turn into invoices once accepted. Across the top, stats show your Open quotes, what was Won this month and what's Expiring this week. Search by client, number or status.
Click New quote, fill it in like an invoice, with a Valid until date, and send it. A quote keeps a revision number and a history of every change. Once it has been sent, the next step is Accept (or Reject in the ⋮ menu). An accepted quote becomes either:
- a sales order, with Make sales order, when the client will take it over time, or
- an invoice, with Convert to invoice, when it's billed in one go.
A converted quote links to the sales order or invoice it became.
Sales orders
Sales orders is what clients have ordered and are waiting on, with what's still to invoice. Make one from an accepted quote, or capture one directly with New sales order. Sales orders have their own numbering.
Stats across the top show Open orders, Overdue deliveries and what was Invoiced this month from sales orders. Search by number, client or reference, filter by client, status and order date, sort by any column, and choose 25, 50 or 100 a page.
A sales order shows each line's Ordered, Invoiced and Back order quantities. Enter what's being delivered under Invoice now and click Create invoice: invoice some or all of what's left, in as many goes as you need. Each invoice is issued like any other and links back to its sales order; the order shows its quote and its invoices.
The sales order prints as the pro forma invoice, with your document terms at the foot. Cancel order takes whatever hasn't been invoiced off order; invoices already raised from it stay as they are.
If your company uses Inventory, an open sales order reserves its items, so they show as reserved rather than available until they're invoiced.
