Stock takes, adjustments and opening stock

Counting the shelf, writing stock off or on, and the stock you start with

Stock takes

Count what's on the shelf. Looped compares it with what the books expect, and posts the differences once someone has reviewed them. Count everything at least once a year, and the fast movers more often.

  1. On Stock takes, give the count a note and choose what it Covers: all items or one category. Click Start a stock take.
  2. Count. Type or scan a barcode or SKU and press Enter, or tap Scan to read barcodes with the device's camera where the browser supports it. A Stock Counter can count without seeing costs or posting.
  3. Review. Each item shows what was Expected, what was Counted, the Difference and its Value.
  4. Someone who can post chooses Post, picks the Post on date and confirms. If everything matches, nothing changes and the stock take closes.

A stock take that's no longer needed can be cancelled. The list searches by number or category and filters by status: Counting, Posted or Cancelled.

Adjusting stock

Adjust stock (under Stock takes) writes off stock that's damaged, expired or gone, or writes on stock you found. Pick the item, how many and why: Damaged, Expired, Stolen or lost, Used in the business, Found or Something else, with a note if you like. It goes to Inventory Adjustments in the books at average cost.

Opening stock

Opening stock, under Settings, is what was on the shelf on the day you start and what it cost. Choose the Take-on date, then enter a quantity and unit cost per item, or paste one item per line as SKU, quantity, unit cost. It goes into the books as one entry. Entering an item again replaces its figures.

Add your items first; only tracked items take opening stock.

Stock takes, adjustments and opening stock all show in the audit trail.
