Prices and client price lists
Price levels with rules, editing prices by level, client prices and printable client price lists
Every item has its own selling price. Price levels add other tiers, such as Trade or Retail, for clients who pay something else. All prices are excluding VAT.
Price levels
Price levels are under Settings. Click New price level, name it and, if you like, give it a Rule for unpriced items:
| Rule | Works out the price from |
|---|---|
| No rule | Nothing: unpriced items use their own selling price |
| Based on cost | The item's cost |
| Based on selling price | The item's own selling price |
| Based on another level | That level's price |
Then choose Plus or Less and a Percent, so a rule reads like "Based on cost plus 30%". A rule only prices items you haven't priced on the level: a price set on the item always wins. Levels you no longer use can be archived and restored.
In Invoices, link a client or a client category to a level; see Client prices.
Edit prices by level
Edit prices by level, from Items, shows every item's price on one level, with its Margin. Pick the level, type prices in, and save. Items left blank follow the level's rule, or their own selling price. Tick Show unpriced items to price items that have nothing on the level yet.
One item's prices on every level are on its page, under Prices by level.
Client price lists
Client price lists, under Reporting, are printable price lists to send to a client or a prospect. They print the prices you set on items; they don't change them.
To make one, click New client price list and choose:
- Who it's Prepared for: a client, or No client for a prospect or anyone.
- The Price level, or Items' own sale prices.
- What's on it: categories, items matching a search, sort order and columns.
- The Title, Effective and Valid until dates, a message and terms.
It's made from the live catalogue at today's prices, as a Draft you can adjust before it goes out: add headings and one-off lines, mark specials, reword a line, or set a line to On request. Refresh prices brings it back in line with the catalogue. Save your choices as a Saved setup to make the same kind of list again.
Preview, print or download it as a PDF, export it as CSV, or email it. The list shows when it was Last sent and to whom.
You can also start a client price list from the client's page in Invoices.
